Conditions of Hire

The mission of Warmington Village Hall is to provide and maintain a community facility that promotes social, recreational, educational and wellbeing activities for the benefit of all local residents.

 

This form explains the hire charges and conditions for hiring Warmington Village Hall.
 

Your booking will only be confirmed when

  1. it is marked as Accepted in our Hallmaster Booking System

  2. you receive an invoice and pay the charges in full

  3. you receive confirmation of both of these (usually by email)

 

Provisional bookings are permitted only if they fall one month or earlier from the hire date
and will be deemed to have lapsed if not confirmed by a formal booking within 14 days.

 

To make a booking:

  • access our Booking System on Hallmaster

  • complete your profile, select your required date and time, and submit your enquiry

  • if you do not have online access, call Ian Hindley on 07773 303498

  • You booking will be reviewed by our team and then marked as Confirmed if accepted.

 

Hire Charges (minimum period is two hours)

Monday to Friday: £9.00 per hour

Saturday & Sunday: £11.00 per hour
Saturday only 9am-11.30: £145.00 all day


Non-Residents of Parish                   
Any day: £16.00 per hour

MEETING ROOM

Residents of the Parish                   

Monday to Friday:  £5.00 per hour

Saturday & Sunday: £6.00 per hour

All bookings are subject to an additional hire charge of £10.00 if alcohol is to be consumed on the premises.

 

All invoices must be paid within 7 days of issue.

 

A Temporary Event Notice may also be required from the Local Authority in respect of the Sale or Supply of Alcohol.
You are required to confirm the position when booking.

Conditions of Hire

  1. For a booking to be valid the hiring details must be completed on the Hallmaster booking system and the fee paid in full within 7 days of invoice.

  2. A no smoking policy applies to all users of the Hall

  3. The maximum capacity is 120 people. It is the hirer’s duty to ensure that this is not exceeded

  4. The Hirer must provide adequate insurance to cover the event. The committee accepts no responsibility for any loss, damage or injuries occurring during the occupancy of the premises and the areas surrounding howsoever caused or responsibility for any stored equipment brought onto the premises.

  5. Bookings are only accepted from persons over the age of 18 years and the Hall must be supervised at all times throughout the hire period by responsible adults

  6. Noise levels must be controlled at all times so as not to inconvenience surrounding properties

  7. The hire begins when the Hall is occupied or when the hirers goods are delivered.

  8. Hall access:

    • The Hall will be opened by the Caretaker 15 minutes before the start of the hire period and locked again at the expiry of the term or you will be provided with a code and instructions for the key box.

    • Please return the key to the key box at the end of your event as instructed

    • You must allow adequate time during your hire period for setting up, clearing away and cleaning.

  9. The Hall must be left in a clean and tidy condition with chairs stacked and tables returned to the walls. The hirer must remove all rubbish from the Hall and take it home. The committee reserve the right to levy an additional charge for cleaning if this condition is not adhered to.

  10. Charges include reasonable use of the kitchen and equipment, heating and lighting.
    A projector is available on request – subject to availability.

  11. In the event of the booking having to be cancelled by the committee, Liability shall be limited to the return of the booking fee only. The committee reserve the right to cancel or refuse a booking.

  12. Any damage must be reported to the Caretaker / Booking Secretary and will be charged for.

  13. Fire exits must not be locked or obstructed and locations of fire extinguishers must be noted in case of emergency. Hirers of the hall are required to familiarise themselves with the Emergency Evacuation Procedure in the event of a fire which can be found on the notice board. A manually operated fire alarm is available in the entrance hall, opposite the kitchen to the left of the meeting room.

  14. Copies of the Warmington Village Hall Fire and Risk Assessments are available on the Hall Noticeboard, and via email on request. All accidents should be entered on the accident report form found in the First Aid Box in the kitchen and reported to the Booking Secretary or by email to warmingtonvillagehall@gmail.com

  15. No unsupervised under 18s are allowed in the kitchen

  16. No 18th or 21st birthday parties

  17. Bouncy castles must not be used inside the Hall – but you can use them in the car park.

  18. All functions must end by midnight and the sale or supply of alcohol must cease 30 minutes
    prior to this provided that the appropriate Licence has been granted.

  19. All heating and lighting must be switched off at the end of the event.

  20. If alcohol is to be consumed on the premises the hirer acknowledges that it is their responsibility to establish whether a Temporary Event Notice is required and to obtain the necessary Licence.

  21. Refunds due to cancellation will only be made in exceptional circumstances at the discretion of the committee.
